Statuses
| Record | Status flow |
|---|---|
| Purchase requirement | draft → sourcing → approved → ordered → partially_received → received → closed (or cancelled) |
| Purchase order | draft → approved → issued → acknowledged → part_shipped / fully_shipped → part_received → received → closed (or cancelled) |
| Delivery commitment | proposed / confirmed → revised / at_risk / missed → fulfilled (or cancelled) |
| Shipment | planned → dispatched → in_transit / delayed → arrived → complete (or cancelled) |
Statuses show as coloured badges in the lists: green done or confirmed, red at risk / missed / cancelled, amber in progress, blue new.
Numbers
| Record | Number | How |
|---|---|---|
| Purchase requirement | PR-1002, … |
Assigned on save when left blank; continues the existing series and skips numbers already used. Read-only once issued. |
| Purchase order | PO-004412, … |
Same rule (six digits, as the ERP uses). |
| Shipment | SH-2002, … |
Same rule. |
Delivery commitments are never edited
When a supplier changes a date, add a new Delivery Commitment for the line with the next revision number and the reason; set Supersedes to the previous one. Each new revision tells Work Management the new date, and an at_risk or missed revision also tells it the delay reason. The order's current date is the highest revision.
The rules Purchasing applies to network messages
- One open requirement per material requirement. Inventory reporting the same shortage twice, or Work asking again, returns the requirement already raised.
- An order created through the network is issued straight away (no approval step on that path yet); the requirement becomes ordered.
- An order cannot be cancelled once a shipment is dispatched or goods are received.
- Goods rejected or quarantined at receipt open a Procurement Exception; goods accepted mark the order and its requirement received.
References to other applications
Lists show the readable reference (MR-1001-01, WO-1001, CAT-793-TRANSMISSION); the
network ids (…_cid) are in the detail panel's Identifiers & integration section. Work
orders and material requirements link ↗ to Work Management, catalogue items to
Catalogue, suppliers (SUP-0042) to Supplier.
Choosing a catalogue item: on a requirement or order line, type part of the item code, description or a manufacturer number in the Catalogue Item box and pick from the list.
Choosing a supplier: on a requirement, order or shipment, type part of the supplier number or name in the Supplier box and pick from the list (suppliers that are suspended or inactive are not offered).
